Overview

Responsly helps businesses sync their Google reviews across every location and reply to them in their own voice with AI. This Privacy Policy describes the information we collect, how we use and protect it, and the choices you have. It applies to our marketing site, our web application, and the connected services we provide. By using Responsly, you agree to the practices described here.

Information we collect

We collect only what we need to deliver the service and keep your account secure.

• Account information. Your name, email address, and authentication details when you sign in, along with billing details if you upgrade to a paid plan.
• Google Business Profile data. When you connect your profile, we access the locations, reviews, ratings, replies, and business details you authorize, so we can sync them and help you respond.
• Usage data. Basic information about how you interact with the product, such as pages viewed, features used, device and browser type, and approximate region, which helps us improve reliability and performance.

How we use your information

We use the information we collect to operate and improve Responsly, including to:

• Sync your Google reviews and locations and keep them up to date.
• Draft AI replies grounded in your business and post them when you approve or enable auto reply.
• Send instant alerts when a low rating arrives and surface insights on ratings, sentiment, and trends.
• Authenticate you, secure your account, provide support, and process payments.
• Detect, prevent, and address fraud, abuse, and technical issues, and comply with legal obligations.

Google user data and limited use

Responsly's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We only access the Business Profiles you explicitly connect, and we use that data solely to provide and improve the features you signed up for, such as syncing reviews and drafting replies. We do not use Google user data for advertising, and we do not sell it or transfer it to third parties except as needed to provide the service, comply with the law, or as part of a merger or acquisition. You can disconnect your Google account at any time to stop further access.

AI processing of your reviews

To draft replies in your voice, we send the relevant review text and the business details you provide to our AI processing provider. This content is used only to generate your reply and to operate the feature. We do not permit your review content to be used to train third party foundation models. AI drafts are suggestions; you remain responsible for the replies you approve or that auto reply posts on your behalf, and you can review and edit any draft before it is published.

How we share information

We do not sell your data. We share information only in limited cases: with service providers who help us run Responsly, such as hosting, payment processing, and AI generation, under contracts that protect your data; with Google, to post the replies you approve; when required by law or to protect rights, safety, and security; and in connection with a merger, acquisition, or sale of assets, in which case we will notify you.

Data security

We protect your information with encryption in transit, access controls, and regular review of our systems. Connections to Google use secure authorization, and we store only the tokens needed to keep your account synced. No method of transmission or storage is perfectly secure, but we work continually to safeguard your data and to limit who can access it.

Data retention

We retain your information for as long as your account is active and as needed to provide the service. If you disconnect a profile or close your account, we delete or anonymize the associated data within a reasonable period, unless we are required to keep it to comply with legal, accounting, or security obligations. You can request deletion sooner using the contact details below.

Your rights and choices

Depending on where you live, you may have the right to:

• Access the personal information we hold about you and request a copy.
• Correct inaccurate information or update your account details.
• Delete your information or close your account.
• Disconnect your Google Business Profile at any time, which stops further access.
• Object to or restrict certain processing, and withdraw consent where processing relies on it.

Cookies

We use essential cookies to keep you signed in and to remember your preferences, and limited analytics cookies to understand how the product is used so we can improve it. You can control cookies through your browser settings, though disabling essential cookies may affect how Responsly works.

Children's privacy

Responsly is built for businesses and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

International users

Responsly is operated from the United States, and your information may be processed in the United States and other countries where we or our service providers operate. These countries may have data protection laws that differ from those in your region. Where required, we put appropriate safeguards in place for international transfers.

Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the date above and, where appropriate, notify you in the product or by email. Your continued use of Responsly after an update means you accept the revised policy.
